HR Executive Resume Example and Guide

A complete sample, plus how to write hiring and payroll work so it reads as results.

For hr generalists and recruiters with 0–6 years, and anyone moving from an admin or coordination role into hr.

An HR resume is read by someone who writes job descriptions for a living, so vague duties stand out immediately. The listings that get called back put a number on the funnel: how many roles closed, how fast, from which sources, and how many of those offers actually joined. Payroll and compliance work needs the same treatment, headcount processed and error rate, not just the word 'payroll'.

What recruiters look for first

  • Whether you are a recruiter, a generalist or a payroll specialist. These are three different jobs and the resume should say which one within the first two lines.
  • Funnel numbers: roles closed, time-to-fill, offer-to-join ratio, and where your candidates came from.
  • Headcount. Supporting 40 employees and supporting 1,200 are not the same role.
  • Named systems, because HR teams buy one and hire for it: Darwinbox, Keka, greytHR, Zoho People, Naukri RMS, LinkedIn Recruiter.
  • Statutory work by name: PF, ESI, gratuity, full and final settlement, POSH. These are the terms job descriptions filter on.

Summary examples

Fresher or career changer
MBA in Human Resources with internship experience across recruitment and onboarding, including screening 300 applications for 8 engineering roles and running induction for 24 joiners. Comfortable with Naukri and LinkedIn sourcing, and with the PF and ESI paperwork a new joiner needs.
2–6 years
HR executive supporting a 450-person services business across hiring, onboarding and payroll inputs. Closed 60 roles in the last year at a median 28 days, and cut first-month attrition from 14% to 6% by rebuilding the induction process.

Bullet points, before and after

Responsible for end-to-end recruitment for various positions

Closed 60 roles across engineering and operations in 12 months at a median time-to-fill of 28 days, down from 41

Volume, function and a before-and-after on the one metric every hiring manager asks about.

Handled onboarding formalities for new joiners

Ran induction for 24 joiners a month and rebuilt the first-week plan, cutting 30-day attrition from 14% to 6%

Onboarding is only interesting if it changed whether people stayed; this names that outcome.

Worked on payroll and statutory compliance

Prepared monthly payroll inputs for 450 employees in greytHR with zero PF or ESI filing delays across 18 cycles

Headcount, the named system, and an accuracy record, which is what a payroll employer is actually buying.

Assisted with employee engagement activities

Ran quarterly engagement surveys at 78% response and took three recurring complaints to the leadership review, two of which were fixed

Engagement work is usually written as events; this shows it produced a decision instead.

Used job portals for sourcing candidates

Shifted sourcing mix from 80% Naukri to 45% referrals and LinkedIn, reducing cost per hire by ₹6,200

Names the channels and ends on a cost figure, which is how recruitment leaders are measured.

Mistakes specific to this role

Writing the job description instead of your record

HR people recognise a copied JD instantly, because they wrote one that morning. "Responsible for end-to-end recruitment" describes the role you held, not what you did in it. Replace each duty with the number attached to it.

Not saying which kind of HR you are

Recruiter, generalist and payroll are separate hiring pools. A resume that lists all three equally reads as junior in all three. Lead with the one you are applying for and keep the others as supporting lines.

Leaving out headcount and company size

HR work scales very differently at 40 people and at 1,200. Put the headcount you supported in the summary or the first bullet of each role, otherwise the reader has to guess and usually guesses low.

Burying statutory experience

PF, ESI, gratuity and POSH are terms that job descriptions and screening filters use verbatim. If you have done this work, name it exactly rather than writing "handled compliance".

Confidentiality used as a reason for no numbers

Salary data is confidential; your time-to-fill, offer-to-join ratio, headcount supported and survey response rate are not. Those four numbers are enough to make a strong HR resume.
